A practical planning guide

Build a group budget before splitting the bill

Set the scope, add a cushion, and understand what an equal share leaves out.

Decide what the group is sharing before entering numbers. A pooled travel budget might include transport, accommodation, meals and activities, while souvenirs and individual upgrades stay personal. Mixing these scopes makes an equal split look precise without making it fair.

Write full-trip totals, not daily allowances

The budget tool expects every category to cover the entire party and trip. If food is estimated at 20 USD per person per day for four people over three days, enter 20 × 4 × 3 = 240 USD. Do not enter 20 and expect the tool to multiply it. Use the hotel comparison’s whole-stay total for accommodation only once.

A hypothetical four-person, three-day trip

Transport 160 + accommodation 360 + food 240 + activities 80 = 840 USD
Contingency: 840 × 10% = 84 USD
Total: 840 + 84 = 924 USD
Per person: 924 ÷ 4 = 231 USD
Whole group per day: 924 ÷ 3 = 308 USD
Per person per day: 924 ÷ 4 ÷ 3 = 77 USD

The 10% cushion is an example choice, not a recommended universal amount. A trip with uncertain transport or payment costs may need a different allowance.

Keep contingency distinct from known costs

A fee you already know belongs in the relevant category, not hidden inside a vague buffer. Add a contingency to the base subtotal once. If someone has already included a buffer in their food estimate, agree whether to remove it before adding the overall allowance.

Separate budgeting from settling up

Four equal planning shares do not tell you who owes whom. Keep a separate record of who actually paid, personal purchases and agreed unequal shares. If someone travels for fewer days, an equal split may be inappropriate. Rounded per-person amounts can also leave a few cents to allocate.

All example figures are invented. The tool does not forecast prices, track payments or move money. Downloading a CSV creates a local copy you can choose to share; it does not create an account or shared ledger.
